Editing or deleting a live stamp card
You can change a card that customers are already collecting on. What matters is which change you make — some keep everyone's progress, and two of them don't.
Yes, you can change a card people are already collecting on. The only question worth asking first is what happens to their progress, because it differs by change.
Here’s the whole picture:
| What you do | Existing progress |
|---|---|
| Rename the card, change artwork | Kept |
| Change what the reward is | Kept |
| Increase the stamps needed | Kept — they carry on toward the longer card |
| Reduce the stamps needed | Kept, but see the warning below |
| Switch the card off (“delete”) | Kept, and hidden until you switch it back on |
| Replace it with a new card | Your choice — you’re asked |
| Remove a reward from the card | ⚠️ See the last section |
“Delete” doesn’t delete
Worth knowing, because the wording is misleading: when you delete a stamp card in your dashboard, it says “Stamp Card Deleted Successfully” — but the card and everyone’s stamps are still there. It’s switched off, not destroyed.
While it’s off, it disappears from your customers’ app. Switch the same card back on and it returns with every stamp intact.
So “delete” here is safe and reversible. If you’re switching a card off because you’re rethinking the reward, nobody loses anything.
Replacing a card — the one place you choose
If you set up a new card in the same slot, you’ll get a dialog asking what to do with existing members. It’s worth reading rather than clicking through, because the two options are genuinely different:
- Retain — everyone keeps the card and progress they already have.
- Replace — everyone’s progress resets to zero and they get a fresh card.
There’s no wrong answer. A new reward for a new season often wants Replace; a redesign of the same offer wants Retain. Just make it deliberately.
Changing how many stamps are needed
Increasing is straightforward. Someone with 6 of 8 stamps who now needs 10 keeps their 6 and carries on.
Reducing needs a moment’s thought, and your dashboard warns you about it:
Customers may have collected more stamps than the total number of stamps on your new card. These customers will be treated as having completed their card. No rewards will be issued.
That’s the important bit. If you cut a card from 10 stamps to 6, everyone already at 6 or more is marked complete and handed a fresh empty card — but they are not automatically given the reward.
They’ve done the work. So if you reduce a card that people are partway through, plan to honour those completions yourself — or reduce it by less, or start a new card instead.
One thing you can’t do: reduce the stamp count below a reward that sits partway along the card. You’ll be told the reward is beyond the new maximum. Move or remove the reward first.
⚠️ Removing a reward people have already earned
This is the one change to be careful with, and we’d rather flag it than let you find out.
If you remove a reward from a card after customers have earned it, those earned rewards can stop being visible to them — and once that’s happened they can’t be redeemed.
The dashboard does protect you in the obvious case: if a reward is currently live in a campaign, it won’t let you delete it and it tells you which campaigns are using it. But a reward that people have already earned and not yet redeemed is a different situation, and that one isn’t guarded.
So before removing a reward: check whether anyone is holding an unredeemed one. If they are, let them redeem it first, or be ready to honour it manually.
If it’s already happened, you can usually just give the customer the reward directly — you’ll know who they are, and they’ll appreciate it more than an explanation.
What customers see of a reward before they’ve earned it
The reward’s title is visible in the app from the start, so people know what they’re working toward. The full title and description appear once they’ve actually earned it.
Write the title with that in mind — it’s the part doing the motivating, and “Free coffee” works harder there than “Reward 1”.
The icon on a reward card can’t be changed. If a customer or a colleague asks, that’s the answer — the artwork is fixed, and only the wording is yours to set.
