Can I import my existing customer list?

Yes, but send it to us rather than looking for an upload button — there isn't one in your dashboard. Send a CSV and we run the import for you, stamp balances included.

Yes — send us the file. There is no upload button in your dashboard, so if you have been hunting for one, that is why you could not find it.

Send us the file

Contact us with Support as the topic and attach the file. We run the import for you.

It’s done this way because the import needs care: matching against people who may already be members, deciding what happens to duplicates, and getting stamp balances right. It’s quick from our side.

What the file needs to look like

A CSV with these columns, in this order. The order matters more than the headings, because the columns are read by position:

# Column Notes
1 First name
2 Last name
3 Email
4 Country code Digits only, e.g. 64, not +64
5 Mobile number Combined with the country code
6 Date of birth Use YYYY-MM-DD
7 Gender
8 Stamps to credit A number. Use 0 if you’re not carrying balances over
9 Notes Free text, kept against the member

A heading row is fine — it’s skipped.

Every row needs an email address or a mobile number. That’s how a person is identified, and how we avoid creating a duplicate of someone who’s already a member. Rows with neither can’t be imported.

A few practical points, so nothing surprises you:

  • Dates must be YYYY-MM-DD. Other formats are dropped silently rather than rejected loudly, so 03/04/1990 will simply not arrive.
  • Stamp balances must be plain numbers. 5 works; 5 stamps becomes zero.
  • People already in your program keep their existing stamps. Their notes get updated, their balance isn’t overwritten.
  • Send it as a test batch first if the list is long. Twenty rows, check they look right in your dashboard, then send the rest. Worth the extra ten minutes.

Moving off Square, or another POS?

Export your customers from it and send us that file — the route above.

There is no live Square connection yet. It is something we are building and it is not available today. An earlier version of this article described connecting one under POS Integrations → Square; that screen does not exist, and we are sorry if you went looking for it.

What importing does and doesn’t do

It creates members. They exist in your program, they appear in your member list, and any stamps you specified are credited.

It doesn’t get them using the card. An imported member hasn’t downloaded anything or signed in — they just exist on your side. They’ll get the card the normal way, by scanning a code at your counter, and their imported stamps will be waiting.

So treat an import as a head start on your member list, not as a launch. The Table Displays still do the work of telling people the program exists.
