A member walks past reception having already paid, which is why a spend-based loyalty program never quite fits a gym. Stand a Customer Kiosk in reception instead and the card counts attendance: the screen shows a QR code, members scan it on the way in with their own phone camera, and nobody on your team has to look up from what they are doing.
Some members train six times a week, some once a fortnight
The repeat-scan time-out starts at 12 hours, and we will change it to whatever you ask for. A studio running an early class and an evening class can drop it to an hour so both count; a gym that wants one visit a day on the record can leave it alone. It should suit your timetable, not ours.
A reward at ten visits is invisible to someone on visit two
Rewards can unlock along the way rather than only at the end — something small at three visits, something better at eight — so a new member sees the program working while the habit is still being built, which is exactly the fortnight you are most likely to lose them in.
A lapsed member is worth more than a new lead
They already know where you are, what it costs and which instructor they like. Their birthday sits on their member record in the Control Panel alongside their email, mobile and the date they joined, so a birthday reward goes out on its own instead of waiting on somebody remembering.
Your strongest lead is somebody's training partner
The referral runs both ways from a link a member can share themselves: the friend gets something for joining, and the member gets theirs once that friend earns their first stamp. Nothing pays out for a name on a list — it pays out when the person actually turns up.
Instructors are not at a front desk
The Code Generator is a web app, so a class instructor can run it on the phone already in their pocket. Each device is tied to a location when it is set up, so a stamp issued in the studio and a stamp issued in reception both land on the same card and both show which site they came from.
Retention is the whole game, and it is measurable
The Health & Fitness Association’s 2025 Fitness Industry Benchmarking Report — built from 175 operators covering more than 17,000 facilities in 27 countries — found that member retention averaged 66.4% for the year. That is a global average across a very mixed sample rather than a target, but the shape of it is familiar to anyone who has run a gym: roughly a third of the people on your list at the start of the year will not be on it at the end.
Almost none of them will tell you they are leaving. They stop coming, the direct debit runs for a few more months, and then it doesn’t.
What that means for how you set the card up
A visit-based card is useful because it makes attendance a number instead of an impression. Every stamp is timestamped and attributed to the location it was issued at, so the Reports section shows you who is in and who has drifted while there is still a conversation to be had.
The setup that suits most fitness businesses is a Customer Kiosk at reception and the Code Generator on instructors’ phones for classes and PT. The kiosk is hands-free by design — the QR code on screen regenerates on a timer and the previous one dies the moment it does, so a photograph of the screen is worth nothing by the time it is passed around. A four-digit exit code keeps the device in kiosk mode, which matters when it is sitting on an unattended desk.
Stamps can be removed as well as added from the Control Panel, and a member can hold more than one card at once — so a gym running a separate card for its café or its supplement shop does not need a second program to do it.
